PASSPORTycm Registration Information

Registration opens November 1, 2007 at 8:00 a.m. Central Time.

All registrations must be made online (link located at bottom of this page).

Here is a checklist of the information you will need to gather before you register:

  • Username and Password (if you have registered online before)
  • Location and Session
  • Number Male/Female Campers and Chaperones
  • Contact Information for your Group and Leader
  • Method of Payment

Note: The more information you give us at the time of registration, the better we can prepare for you. If you need to add or update information, you may do so at any time through May 1, 2008, by returning to the registration web site and entering your User Name and Password.

Username and Password: First-time registrants will need to create a Username and Password. If you have moved to a new church or parish, please create a new Username and Password. Forgot your Username or Password? Click here to have them emailed to you.

Location & Session: Camp size is limited and space will be reserved on a first-come, first-served basis. If your preferred session is filled, you will have the option of placing your group on a waiting list (be sure to read the Wait List Policy thoroughly before selecting this option) and also registering for an alternate session.

Special Requests: In this field, please indicate such requests as:

  • Special needs a camper has (dietary, mobility, etc.)
  • Group rooming policy requirements
  • Lodging for a bus driver or extra nights for early arrival, late departure (if available)
  • 3XL or 4XL T-shirt orders (must be requested by April 1, 2008)

Payment: Deposits must be paid before securing your registered spots. Deposits for PASSPORTycm are $75 per person. Pay your deposit by credit card (MasterCard, Visa, or American Express) or pre-pay by check. You may make additional payments on your balance at any other time.

Pre-payment by Check: A new option this year! Groups may send a check for deposits to the national office prior to registration. The Passport office must receive your pre-payment by check by October 25, 2007, in order to be processed before the opening of registration. You'll find the information need to complete a pre-payment below. Please note: pre-paying doesn't secure spots; you will still need to register online on or after November 1.

To pre-pay by check, follow these steps:

  1. Write a check made out to “Passport, Inc.” for the full deposit amount of your registration. If you are registering for more than one camp, you can submit multiple checks if you prefer, or you can combine these deposits into one payment.
  2. Download, print, and complete the Pre-payment Code Request Form.
  3. Send your check(s) and the completed Pre-payment Code Request Form to: Passport, Inc. 3421 Sierra Drive, Birmingham AL 35216. We must receive your request in our office by October 25, 2007 in order to process your request in time for the opening of registration.
  4. The Passport, Inc. office will send you a special code that you will use during your online registration. If you are registering for multiple camps, you will receive a code for each camp registration.

Here are some important notes regarding pre-payment by check:

  • Pre-paying by check will not secure any spots for you prior to the opening of registration, and you are still required to register online.
  • Each coupon code will only be available for your group and is not transferable to other groups. Also, if you have requested pre-payment for a kids camp, your coupon code is not transferable to a youth camp and vice versa.
  • At the time you register, you will not be permitted to register for any more than you have pre-paid unless you pay the balance due on a credit card. If you register for less than the amount that you have pre-paid, the remaining credit will be applied to your overall balance. Passport will not issue refunds for overpayment, except as allowed by the cancellation policy.
  • The Passport, Inc. office must receive your prepayment by check by October 25, 2007. Any checks received after that date will be processed, as we are able, and may not be processed prior to the November 1 opening of registration.

Supply Fees: At PASSPORTycm, a one-time fee is added to the final balance for all groups to help purchase camper supplies (including mission supplies). The fee is based on the final attendance of your group (campers and adults) and is due with your final balance at camp.

Dillard University: $100 per every 10 participants
All Other Locations: $50 per every 10 participants

 

Registration Policies

Cancellation and “Drop” Policy for PASSPORTycm

Before submitting payment for deposits, you will be required to indicate that you have read and agree to abide by our Cancellation Policy, which is as follows:

  • All registration changes must be made online on or before May 1, 2008.
  • Each church or parish is allowed five (5) drops in total registration without penalty between the day you register and May 1, 2008.
  • The deposits for these 5 drops will be deducted from your final balance.
  • You will forfeit the deposit for any drops in excess of the 5 allowable drops. After May 1, 2008, you will forfeit the deposits for any campers not able to attend.
  • All drops must be made online.
  • If your entire group is forced to cancel before May 1, 2008, Passport will refund 50% of your deposit or $375, whichever is greater, not to exceed the total amount of your deposit.

After May 1, all group cancellations will result in the forfeit of your entire deposit. Cancellation requests must be made in writing via mail, e-mail, fax, or through the online registration system.

Who are Campers and Chaperones? Campers for PASSPORTycm must have completed 6th Grade through 12th Grade at the time of camp. Chaperones must be at least 20 years of age.

Camper and Chaperone Ratio: Adult to camper ratio in your group MUST be at least 1 adult per 6 campers, all the same gender for PASSPORTycm. This means, for example, that if you bring 8 female and 3 male campers, you must have 2 female adults and 1 male adult. Passport reserves the right to limit the number of adults in your group as needed. Because adults who come as chaperones are an integral part of the camp experience, children below the age eligibility (including babies) are not allowed.

Healthy Adult / Minor Rooming Policy: Passport, Inc.’s policy regarding Healthy Adult/Minor Rooming requires that an adult cannot sleep in the same room with a minor unless that adult is the parent/guardian of the minor. In cabins or other lodging where there are multiple beds, we will arrange for at least two adults who are not married or related to stay with multiple minors. This may necessitate placing more than one group in a cabin or apartment. If there are separate bedrooms, an adult will be given their own room, or may share with another adult.

Also, if your group/church/parish policy is stricter than this, Passport, Inc. will follow your policy to the best of our ability; however, it is each registering group’s responsibility to make specific rooming issues known to Passport in writing no later than May 1, so that we can adequately plan. You can do this in the Special Needs box when you register or modify your registration online. You may also e-mail your request to us at reg@passportcamps.org. Special rooming issues can usually be accommodated, although in some instances, this may require additional payment based on single room costs from our host facilities. Drivers: Your buses, vans and cars will need to be driven during the week to facilitate all campers getting to mission sites, which means that youth from other groups will need to ride in your church vehicles. All vehicle drivers must be at least 21 years of age.

Youth Scholarships: Please contact the Passport, Inc. office for information about the Alan Bradford Smile Fund to assist campers with financial need.
